Privacy Policy

This policy explains how AthleticsMD LLC ("we") handles information about people who book, join or are invited to video meetings with us, and the business contacts our sales team works with, including the mobile numbers and consent behind our meeting notification texts. It does not cover patient care records; patients of a medical practice are covered by that practice's own notice of privacy practices.
What we collect
- Your name, title, organisation, business email address and phone number, as you give them to us or as they appear in your organisation's public listings.
- Your mobile number, if it is given to us for meeting notifications, and the record of how and when it was given (our opt-in form, a booking page, verbally to a representative who read you our text-message disclosure, or a meeting organizer who added you with your permission).
- The meetings you book with us, the reminders we send, and replies you text back (such as STOP, START or HELP).
- Notes our representatives keep about your organisation's interest in our software.
How we use it
- To schedule and hold the meetings you ask for, and to send the invitations and reminders for them.
- To answer your questions about our software and, if you choose, to set up your organisation's account.
- To honour your choices: a STOP is recorded against your number and holds on every record that carries it; an email unsubscribe is recorded against your mailbox.
Text messaging and your mobile number
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories of sharing below exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We never sell, rent or trade your mobile number or your consent to receive texts.
Who else handles it
We share information only with the service providers that run the tools our sales team uses, and only so they can provide that service:
- Twilio, which delivers our text messages;
- LiveKit and Zoom, which carry the video meetings you join;
- our email provider, which delivers invitations and reminders;
- Render, which hosts our systems.
They may not use it for anything else. We may also disclose information when the law requires it.
How long we keep it
We keep contact and meeting records while your organisation is in touch with us, and for as long as the law or our own records require after that. A record of your opt-out is kept for as long as we hold your number, so that it keeps working.
How we protect it
Our sales tools require two-factor sign-in, sign out after 10 minutes of inactivity, and limit each representative to the accounts assigned to them. Meeting links are stored encrypted and are never shown to anyone outside the meeting.
Your choices
- Reply STOP to any text to stop texts, and START to resume them.
- Use the unsubscribe link in any email to stop emails.
- Email support@amdana.app to see, correct or delete the information we hold about you.
Changes
If this policy changes, we update this page and its effective date.
